Erasmus+ Short-Term-Mobilities:
Opportunities for group trips and workshops

Universities have the opportunity, within the framework of Erasmus+ short-term mobilities, to travel with a seminar group for one week to an international partner, such as research institutions, universities, or companies. During these visits, workshops can be conducted, or participants can take part in so-called Blended Intensive Programmes (BIP). These mobilities are financially supported for both students and university staff. Take advantage of the diverse opportunities offered by Erasmus+ to gain international experience, acquire new perspectives, and strengthen valuable collaborations!

  1. Early registration of group mobility: Group trips must be registered in writing (via email) with Leonardo-Sachsen as early as possible to ensure funding. Long-term planning is advantageous in this regard. Please note that a virtual component before, during, or after the group mobility is a required part of the funding.
  2. Entering details into the form: The coordinating person at the home university enters all relevant details about the mobility into the ➚Group Mobility Form. This form simplifies the application process for students and is submitted directly to Leonardo-Sachsen.
  3. Once the verified information is entered into the application tool, students can submit an ➚application for Erasmus+ funding.

After the funding is approved, students can apply.

Afterward, each student will receive a contract consisting of 2 parts:

  • The Grant Agreement, signed by the student and Leonardo-Sachsen.
  • The Learning Agreement, signed by the student, the sending institution, and the receiving institution.

The first installment of the scholarship, amounting to 70%, will be paid after both signed contractual components are received. The second installment, amounting to 30%, will be paid after the submission of the final documents.

The funds for your support in accompanying the group can also be reserved in advance with the project.

For each funded day, an amount of 79 EUR per day is granted in the current funding period. Including possible travel days, funding is provided for between 5 and 7 days.

An additional grant of EUR 100 is possible for one of the following groups:

  • Students with disabilities
  • Students with chronic illnesses
  • Students with a child accompanying them
  • Students from non-academic households

The additional grant is only awarded once (even if two or more criteria apply).

In addition to the accommodation allowance, a travel cost subsidy is granted, which depends on the distance between the starting point and the destination, as well as whether the travel is conventional or sustainable:

  • 10–99 km: 28 EUR
  • 100–499 km: 211 EUR (conventional), 285 EUR (sustainable)
  • 500–1,999 km: 309 EUR (conventional), 417 EUR (sustainable)

Sustainable travel (e.g., by train, bus, or carpooling) is supported with a higher allowance. You can calculate the travel distance individually using the ➚Erasmus+ Distance Calculator.

Insurance Coverage Abroad
Make sure to check with your health insurance provider about your coverage abroad well in advance! Adequate insurance coverage is mandatory for Erasmus+ stays.

Important Notes:

  • Your domestic insurance coverage does not automatically apply abroad. The regulations vary depending on the country and situation.
  • For Erasmus+ internships, you are personally responsible for your insurance coverage for the entire duration of your stay (including travel to and from the destination).
  • Fully clarify your insurance situation before departure.
  • The ➚DAAD insurance package for interns, graduates, and researchers (as well as their family members) is recommended.

Necessary Insurance for Erasmus+ Internships:

  1. Accident Insurance Abroad:
    • At the workplace, accident coverage is often provided by the internship organization in many EU countries. Check directly with them.
    • For accidents during leisure time, a private accident insurance policy with international coverage is recommended.
  1. Health Insurance Abroad:
    • Many health insurance plans only provide coverage abroad for short vacation trips. This is often insufficient for longer internships.
    • Public health insurance usually only covers costs abroad that would also be covered in Germany – any additional costs must be paid by you.
    • Some insurance plans exclude internships abroad from their coverage. Seek advice and, if necessary, purchase additional insurance.
    • Private health insurance policies often lack Europe-wide agreements. Chronic or acute illnesses are often not covered and may require extra insurance.
  1. Liability Insurance Abroad:
    • Take out private liability insurance for the entire duration of your internship (including travel to and from the destination). The ➚DAAD insurance package can also be used here. The regulations are similar to those for accident insurance.

Documents to be submitted after group mobility:

  • Final Report to the European Commission:
You will receive an email with access to the Erasmus+ Mobility Tool. Please complete the online survey and upload the required information there.
  • Current Enrollment Certificate
  • Proof of Stay:
If the organization does not issue its own certificate, you can use the provided ➚Certificate Template. Please ensure that the issue date of the certificate is no earlier than one week before the funding end date specified in the grant agreement. The virtual component must also be documented.
